Job Overview

We are seeking an Event Setup Crew professional to support the setup, breakdown, maintenance, and day-to-day operation of conference and event spaces. The ideal candidate will have hands-on experience moving furniture and equipment, setting up audio/visual equipment, troubleshooting event technology, maintaining event spaces, and providing excellent customer service.

This role requires strong organization, flexibility, physical stamina, and the ability to work independently with minimal supervision. The schedule may include weekends and is based on event requirements.

Key Responsibilities

• Set up and break down conference rooms and event spaces according to reservation forms and established requirements.

• Set up specialized audio, video, and sound equipment , including mixers, microphones, speakers, monitors, cabling, podium equipment, and related technology.

• Troubleshoot audio/visual equipment issues and perform basic repairs or adjustments when needed.

• Assess event locations and determine required equipment, furniture, and room arrangements.

• Review event worksheets, organize timelines, and plan setup activities.

• Transport furniture and equipment using carts and other appropriate equipment.

• Ensure event spaces are clean, organized, and presentable before and after events.

• Clean, vacuum, dust, remove trash, and clean catering debris as necessary.

• Reset event spaces within required timeframes.

• Maintain awareness of event schedules, locations, and changing requirements.

• Maintain inventory of equipment and supplies, including physical counts and daily tracking.

• Follow written and verbal instructions and established procedures.

• Provide excellent customer service to visitors and event customers.

• Communicate and collaborate with coworkers, public agencies, and members of the public regarding event setup and equipment requirements.

• Lead other staff when assigned and assist with training new team members.

• Assist with supervising and supporting interns on assigned projects.

• Operate commercial-grade cleaning equipment, including floor scrubbers, as required.

• Perform other related duties as assigned.

Required Qualifications

• High School Diploma or equivalent.

• At least 6 months of experience transporting and moving furniture and equipment in conference or event rooms .

• Ability to effectively plan, organize, and prioritize work.

• Strong oral and written communication skills.

• Ability to follow detailed written and verbal instructions.

• Ability to work independently with minimal supervision.

• Strong customer service and interpersonal skills.

• Ability to troubleshoot equipment problems quickly and effectively.

• Ability to adapt to changing schedules, priorities, and event requirements.

• Ability to work weekends with limited advance notice based on event needs.

• Ability to perform physical tasks involving standing, walking, lifting, bending, twisting, stooping, pushing, and pulling.

Preferred Qualifications

• 1+ year of experience with sound, audio, and visual equipment .

• Knowledge of microphones, speakers, mixers, monitors, cabling, and related event AV equipment.

• Experience setting up and breaking down conference rooms or event venues.

• Experience with commercial-grade cleaning equipment.

• Experience leading or training other staff members.

Physical Requirements

• Frequent standing and walking throughout event facilities.

• Ability to lift and move furniture and event equipment.

• Ability to push and pull equipment and furniture using carts.

• Ability to bend, twist, stoop, and perform other manual tasks.

• Position involves primarily non-sitting work.
